How to Add Students to Your Account

Creating Students

FYI - If you haven’t already set up your basic lesson Rates, you’ll need to set those up first as you’ll be assigning new students a Rate in this process (click HERE for how to do that)

Here’s how to create students in Music Teacher’s Helper…

  • When logged into MTH, click on the Students icon on the left menu. The students list will display

  • Click on the green + Add Student button  
    

Adult Student Quick Add

If you need to quickly add an Adult Student to put on the calendar…

  • Click on the green + Add Student button

In the New Student window…

  • Choose their Status

  • Enter in their First and Last Name

  • Choose a Rate from the pull down

  • Click the green Create button


This creates a basic student account with no username, email, or any extra details -- the benefit of this is you can quickly put them on the calendar for lessons. Of course, you can edit the student and add details later.


Child Student Quick Add

If you need to quickly add a Child Student to put on the calendar…

  • Click on the green + Add Student button

  • Choose their Status

  • Enter in their First and Last Name

  • Click the Child Student checkbox (the Billing Contact section will show)

  • Choose a Rate from the pull down

  • In the Family section, choose New Family, and enter in the First and Last Name of the Billing Contact (usually the parent)

  • Click the green Create button

  

This creates a basic Child Student and Billing Contact (likely the parent) accounts with no username, email, or any extra details -- the benefit of this is you can quickly put the student on the calendar for lessons. Of course, you can edit the Child Student and Billing/Parent contact and add details later.



Adding an Adult Student using the Add Details button  

  • Click on the green + Add Student button

In the New Student window…

  • Choose their Status

  • Enter in their First and Last Name

  • Choose a Rate from the pull down

  • Click the blue Add Details button

  

A different New Student window opens up. Enter in all the details you want for this student. Here are the fields you can add…

  • Student photo -- upload an image that will be shown in your student list

  • Email -- email address used to send notification / messages to student. Click the Does not want emails checkbox to disallow emails from being sent

  • Phone number -- when cell is chosen, this will used for SMS/text message to the student (US only). Click the Does not want texts checkbox to disallow SMS / texts from being sent

  • Address -- Country, Street, Apt/Suite, State/Province, City, and Zip/Postal - (not required)

  • Instrument -- enter in the instruments for the student. This can used in the main student list to sort students by the Instrument column

  • Skill Level -- enter in the student’s skill level. This can be anything you want. For example: Beginning, Intermediate, Advanced. This can used in the main student list to sort students by the Skill Level column

  • Birthday -- student’s birthdays will show on your calendar if enabled (see Calendar Filter options)

  • Skype ID -- enter your student’s Skype ID

  • Username -- this is required if you want your student to log into their account

  • Password -- while not required, the password is needed if you want your student to log into their account. Enter it in here or have the system assign passwords for you (see the Automatic Assigning of Usernames and Passwords)

  • Notes -- your personal notes regarding this student (only viewable by you)

  • Checkbox to Send Welcome Email -- click this checkbox to send your customizable Welcome Email

When done, click the green Save button.

Once saved, if you need to edit any student, or contact details, click on their name from the list of students.





Adding a Child Student using the Add Student Details button    

  • Click on the green + Add Student button

  • Choose their Status

  • Enter in their First and Last Name

  • Click the Child Student checkbox (the Billing Contact section will show)

  • Choose a Rate from the pull down

  • In the Family section, choose New Family, and enter in the First and Last Name of the Billing Contact (usually the parent)

  • Click the blue Add Student Details button

  

Another New Student window will open. Enter in all the details you want for this child student. Here are the fields you can add…

Next click the blue Add Billing Details button, another New Student window will display.

This is where you will enter the details for the Primary Contact for this Child Student. You can enter / configure...

  • Billing Contact checkbox - check this box to have this contact receive invoices, and payment notifications

  • Lesson Contact checkbox - check this box to have this contact receive lesson schedules, notes, and assignment information

  • Email -- email address used to send notification / messages this contact. Click the Does not want emails checkbox to disallow emails from being sent

  • Phone number -- when cell is chosen, this will used for SMS/text messages to this contact (US only). Click the Does not want texts checkbox to disallow SMS / texts from being sent

  • Address -- Country, Street, Apt/Suite, State/Province, City, and Zip/Postal - (not required)

  • Username -- this is required if you want your contact to log into their account

  • Password -- while not required, the password is needed if you want your contact to log into their account. Enter it in here or have the system assign passwords for you (see the Automatic Assigning of Usernames and Passwords)

  • Notes -- your personal notes regarding this contact (only viewable by you)

  • Add Contact link -- if you have more than one contact per student, you can enter more by clicking on this link

When finished, click the green Save button.

  

Once saved, if you need to edit any student, or contact details, click on their name from the list of students.
